LoopIn is operated by Digital Armoury Limited, a New Zealand company ("we", "us", "our"). LoopIn is a platform for sports and community clubs — sailing clubs, surf lifesaving clubs, scout groups and similar organisations — covering member sign-in and attendance, rosters, membership applications and fees, events and racing, club communications, governance tools, and GPS tracking of club boats and equipment. We also offer LoopIn Tracker, a GPS tracking product for individuals.
This policy explains what personal information moves through LoopIn, why, and how it is handled. We handle personal information in accordance with the New Zealand Privacy Act 2020 and, where applicable, the Australian Privacy Act 1988.
Who is responsible for your information depends on how it reached LoopIn.
When a club uses LoopIn to manage its members — the roster, sign-in records, membership applications, fees, event entries — that information belongs to the club. The club decides what to collect and who may see it; we hold and process it as the club's agent under section 11 of the Privacy Act 2020. We do not use club member information for our own purposes, and we do not sell it to anyone.
When you create a LoopIn account yourself — as a club administrator or staff member, as a LoopIn Tracker customer, or by contacting us — we collect and hold that information as the responsible agency in our own right.

We do not sell personal information, we do not use it for third-party advertising, and we do not use club member information for any purpose of our own beyond operating the service.
Your club's national body. A club may choose to connect its LoopIn account to its national or regional sporting body (for example, a national sailing federation) and share member registry information with it. That sharing is controlled by the club: the club decides whether to connect, and its disclosure settings in LoopIn control what is shared. Requests for member information from a connected body are visible to the club and require its approval.
Service providers. We use a small number of providers to run LoopIn, each only for the purpose stated:
Legal requirements. We may disclose information where required by law, or where necessary to protect someone's safety — for example, providing last-known-position information to emergency services during a search.
Business transfers. If Digital Armoury Limited is ever merged, acquired, or sells the LoopIn business, personal information may transfer to the new operator under this policy's protections.
LoopIn's data is stored with Amazon Web Services in the Sydney, Australia region. Some service providers listed above (such as payment and email providers) may process information in other countries; where they do, we take reasonable steps to ensure protections comparable to the New Zealand Privacy Act apply.
Information is encrypted in transit. Access within the platform is role-based: club staff see only their own club's data, and what each staff role can see and do is restricted. Access within our team is limited to what is needed to operate and support the service, and administrative actions are logged.
No method of transmission or storage is completely secure. If we become aware of a privacy breach that is likely to cause serious harm, we will notify the Office of the Privacy Commissioner and affected people as the Privacy Act requires.

If you are a club member, your club holds your information, so the fastest route is to ask your club directly — most requests (seeing your details, correcting them, being removed from the roster) are things your club can do in LoopIn immediately. You can also contact us using the details below, and we will help, working with your club where the information is theirs.
If you hold your own LoopIn account (administrator, staff, or LoopIn Tracker), contact us directly. We respond within 20 working days as the Act requires.
Our web portals use cookies only to keep you signed in. This marketing website uses privacy-respecting page analytics (Vercel Web Analytics) that do not use cookies and do not identify individual visitors. We do not use advertising trackers anywhere.
Club rosters routinely include junior members — that is a normal part of what sports clubs do. Junior members' information is entered by the club or by a parent or guardian (for example, through a membership application form), is controlled by the club, and is used only for club membership, attendance, and safety purposes. Clubs record parent or guardian contact details alongside junior members.
LoopIn accounts themselves (club administrator, staff, and LoopIn Tracker accounts) are for adults. We do not knowingly let children open accounts, and we never use any member's information — junior or adult — for advertising or profiling.
We may update this policy from time to time. When we do, we will revise the "last updated" date at the top of this page, and for significant changes we will notify club administrators. Continued use of our services after a change constitutes acceptance of the updated policy.
